Privacy Policy

This Privacy Policy explains how Sentez Inc. collects, uses, shares, and protects personal information when you use Qualia, our websites, applications, and related services.

1 · Scope

Who this policy covers

Qualia is provided by Sentez Inc., 131 Continental Dr, Suite 305, Newark, Delaware 19713, United States. In this policy, “Qualia,” “we,” “us,” and “our” refer to Sentez Inc. and the Qualia service.

This policy applies to visitors, account holders, authorized users, and people who contact us. If an organization gives you access to Qualia, that organization may separately control the information it submits and may have its own privacy notices and instructions.

2 · Information

Information we collect

We may collect account and contact information, such as your name, work email address, organization, role, authentication details, support messages, demo requests, and preferences.

We collect information you or your organization submit to Qualia, including prompts, job descriptions, instructions, messages, files, records, approvals, feedback, and other content. If you connect third-party services, we process the data and metadata those connections make available within the permissions you authorize.

We also collect technical and usage information such as IP address, browser and device details, language, approximate location derived from IP, pages and features used, timestamps, referral URLs, diagnostics, and security logs. Our website uses analytics technologies, including Google Analytics and Google Tag Manager, to understand site performance and usage.

If you purchase a paid service, payment providers process billing and payment-card information on our behalf. We may receive billing contact details, subscription status, transaction identifiers, and limited payment metadata, but we do not need to store complete payment-card numbers.

3 · Use

How we use information

We use information to provide, secure, maintain, and improve Qualia; create and administer accounts; connect authorized services; run the AI employees and workflows you configure; produce requested outputs; process approvals; provide support; communicate about the service; and manage billing and contractual relationships.

We may also use information to prevent fraud and abuse, investigate incidents, comply with law, enforce our agreements, analyze product performance, and develop new features. Where required, we rely on consent; otherwise, processing may be necessary to perform a contract, comply with legal obligations, or pursue legitimate interests such as service security and improvement.

Customer data is not used to train foundation models. We may use aggregated or de-identified information that cannot reasonably identify you to analyze and improve our services.

4 · AI processing

How AI features handle content

Qualia sends the information needed to complete a requested task to model and infrastructure providers acting on our behalf. The exact content processed depends on the instructions, permissions, integrations, and workflows configured by you or your organization.

AI systems can produce incomplete, inaccurate, or unexpected results. You and your organization are responsible for reviewing outputs and choosing appropriate approval controls before relying on them or allowing actions in connected services.

5 · Sharing

When information is shared

We share information with vendors that help us operate Qualia, such as hosting, database, authentication, analytics, communications, customer support, payment, security, and AI model providers. They may process information only to provide services to us and subject to contractual safeguards.

We may share information with connected services at your direction; with your organization and its administrators; in connection with a merger, financing, acquisition, reorganization, or sale of assets; or when reasonably necessary to comply with law, protect rights and safety, investigate abuse, or enforce our agreements.

We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising. A current subprocessor list and data processing addendum are available on request from security@thinkqualia.com.

6 · Retention

How long information is kept

We retain information for as long as needed to provide the service, fulfill the purposes described here, comply with legal and accounting obligations, resolve disputes, and enforce agreements. Retention periods depend on the type of information, the account configuration, contractual requirements, and applicable law.

When information is no longer required, we delete or de-identify it. Residual copies may remain temporarily in backups or security logs until they expire through ordinary retention cycles.

7 · Security

How information is protected

We use administrative, technical, and organizational safeguards designed to protect information, including encryption in transit and at rest through our infrastructure providers, access controls, scoped integration permissions, action logging, and human approval controls for sensitive actions.

No method of transmission or storage is completely secure. You are responsible for protecting your credentials, configuring integrations appropriately, and notifying us promptly if you believe an account or connection has been compromised. More detail is available on our Security page.

8 · Transfers

International data transfers

Sentez Inc. is based in the United States, and we and our providers may process information in the United States and other countries. Those countries may have data-protection laws different from those where you live.

Where required, we use recognized transfer safeguards, such as contractual protections, and take steps designed to ensure an appropriate level of protection for transferred personal data.

9 · Rights

Your privacy choices and rights

Depending on where you live, you may have rights to access, correct, delete, restrict, or receive a copy of personal information; object to or withdraw consent for certain processing; and appeal a denied request. You may also have the right to complain to a data-protection authority.

To exercise a right, email dogan@sentez.co. We may need to verify your identity and authority before completing a request. If your information is controlled by an organization that uses Qualia, we may direct your request to that organization.

You can control cookies through browser settings and, where available, our consent controls. Disabling some technologies may affect service functionality. We do not respond to browser “Do Not Track” signals where no common legal standard applies.

10 · Children

Not directed to children

Qualia is a business service and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can take appropriate action.

11 · Updates

Changes to this policy

We may update this policy as our services or legal obligations change. We will post the revised policy here and update the effective date. If a change materially affects your rights, we will provide additional notice when required by law.
