Hatay Surf Center does more than put young people from Samandağ on a surfboard. It builds a community space that produces trust, solidarity, confidence and new opportunities. Like every social impact programme that touches young people, coaches and volunteers, a great deal of information, communication and follow-up sits behind the work.
Student records, training notes, field plans, volunteer coordination, parent communication, safety procedures, donor relationships and fundraising conversations spread across different channels over time. When knowledge stays tied to individuals or to scattered files, coordination gets harder and continuity becomes a risk.
Our work with Hatay Surf Center focused on organizing that scattered structure and strengthening the centre's institutional memory.
From scattered information to shared memory
With Qualia, Hatay Surf Center brought student data, notes coming out of the programmes, communication history and operational information into one place.
The team can now reach what it needs about a student far more easily. Participation, training history, follow-up notes and communication threads became visible in an orderly way. That did not only make student follow-up simpler; it let different team members act on the same information.
The point was never storage alone. The aim was to protect the experience, learning and relationships the centre built over years without depending on any one person.
Making operations visible and trackable
Field work asks coaches, volunteers and operations teams to follow many things at once. With Qualia, task and communication flows became more orderly.
The team began managing programmes, meetings, pending follow-ups and responsibilities more visibly. Reminders, waiting steps and coordination between teams are now tracked inside one working order.
- Clearer division of tasks between coaches, volunteers and field teams.
- Programme, meeting and follow-up reminders that stay visible.
- Safety and field checklists tracked in an orderly way.
- More planned communication with participants, parents and supporters.
- Learnings, stories and impact outcomes from programmes collected as they happen.
Relationship and communication coordination in fundraising
For organizations creating social impact, fundraising is not only about raising resources. It means building relationships based on trust that last over time.
We also supported Hatay Surf Center in tracking its fundraising communication more coherently. Conversations with potential supporters, next steps, information to be shared and relationship history became easier to follow.
The aim was that no conversation, commitment or follow-up step would be lost between scattered channels. The team could run resource development on shared knowledge and a clear follow-up order rather than on memory.
Technology matters when it does not replace human relationships
The impact of Hatay Surf Center does not appear on a screen. It appears on the shore, in the training, in the relationships built with young people and inside the community. Qualia's role was not to replace those relationships, but to strengthen the background that makes them possible.
By organizing information, making tasks visible and coordinating communication, the team spends less time on administrative scatter and more time on young people and the community.
This collaboration is a simple but strong example of how impact organizations can use technology:
When information is in the right place, follow-up does not break down and the team works from a shared memory, more time can go to the real purpose.
At Hatay Surf Center, that purpose is helping young people build a stronger bond with the waves, with themselves and with their future.
Run your own programmes on one shared memory
Bring one workflow that eats your week — grant follow-up, programme briefs or impact reporting — and we will map how it runs with Qualia. See Qualia for NGOs and foundations or book a demo on your own data.
